Planning, customer file, delivery notes and simpler workflows
Easier to use
The app speaks more plainly: "To do", "Planning", "Customers & services" and "Cloud folder". Rarely used fields sit under "More details" and open by themselves when they change something.
The first setup is shorter, and a single file is imported without a summary.
Buchlio stays quick even with tens of thousands of receipts, and syncing through the cloud folder is much faster.
On phones, buttons share columns of equal width and lists stay on one line.
Receipts
Supplier and business partner are one field: typing offers matching entries from "Customers & services", and a new supplier is created right away with address, e-mail, VAT ID and IBAN from the text recognition.
The new field "What for" says what a receipt is for, such as "iCloud+" under "Apple". Buchlio suggests it, the search finds it, and subscriptions with a different "What for" stay separate series.
"Copy from earlier receipt" fills a new receipt with the supplier, category, VAT rate and payment term of an earlier one; VAT that the new receipt states itself is kept.
On phones the receipt stays above the form while capturing; the pin in the preview turns this off.
Invoices from the text of an e-mail appear as a PDF; the original e-mail is kept.
Deleted receipts and drafts can be viewed in the bin.
Planning
"Planning" shows everything that is planned or recurs: planned invoices, series, contracts, financing with rate and remaining amount, and detected costs, per month or year.
An invoice with a later date is planned instead of saved as a draft.
Contracts without a monthly invoice, such as rent, are set up once; each instalment appears under "To do" and is booked with one click.
A missing receipt of a series can also be assigned straight from "To do".
Customers & services
Every customer and supplier has a file with revenue, payments per month, notes and everything that happened. Its search also finds invoice lines.
Customers, suppliers and services can be imported from a CSV file, for example when switching from another program.
Business partners have an IBAN; open supplier invoices go to your banking app via GiroCode.
Quotes, invoices and delivery notes
Quotes can be changed, and their e-mails carry buttons to accept or decline. Buchlio recognises the reply as a suggestion. Terms and cancellation policy are sent along.
Accepted quotes produce delivery notes without prices; an invoice can bill exactly what was delivered.
Three templates for invoices and quotes: Modern, Classic and Minimal.
Documents and their e-mails can go out in English if you like.
Descriptions of lines and services can span several lines.
Reports and tax advisor
New: a monthly business analysis (BWA) and a cash forecast for the next six months.
The accounting package goes to your tax advisor with one click, through your own mailbox or your mail app, with a password if you like, and also with open points.
Photos and scans always become PDFs; for imported images the package adds a PDF copy. The DATEV batch contains every field DATEV's checking tool requires.
New categories: rent & lease, other premises costs, wages & salaries, social contributions, and software (subscription) or software (purchased). Rent and other premises costs appear in the BWA under premises.
A template for the procedure documentation comes with the export.

Inbox and overview
The inbox gathers what needs doing, most urgent first: payments, tax questions, sending, new receipts and new versions.
Due dates show open and overdue invoices, instalments and, under "Coming up", what is due in the next 14 days.
Notifications remind you of letters that are due, instalments and a subscription that is ending.
A five-step setup walks through the business, tax model, invoice standards and tax advisor; afterwards "Up next" shows what is still missing.
Capturing receipts
Take in receipts as a photo, scan, PDF, e-invoice, e-mail, whole folder or ZIP archive, also by drag and drop and from the share menu.
On a phone the camera opens the system's document scanner: it finds the edges, straightens the page and captures several pages. Images can be cropped right away.
Text recognition runs on the device and suggests amount, date, service date, VAT rates and business partner, in German and English.
Receipts with several VAT rates are split per rate, such as food and drinks at a restaurant.
XRechnung, ZUGFeRD and Factur-X are read as structured data.
Take in invoices from several of your own mailboxes: Microsoft 365 and Outlook by signing in, Gmail and other providers by IMAP. Invoices in the body of a message are recognised too.
Duplicate receipts are detected, originals are kept unchanged and can be added later.
Receipts are filed automatically by year, month and category; deleted items go to the bin and can be restored.
Recurring costs
Buchlio recognises subscriptions and contracts from the receipts, with the next date and the approximate monthly total.
If a receipt is missing, it appears as a task in the inbox and can be added right there.
Months without an invoice and cancelled subscriptions can be marked, on every device.
Quotes and invoices
Quotes, order confirmations, invoices, credit notes and cancellation invoices with your own logo, colours and a live preview.
An accepted quote leads to an order confirmation, an invoice and advance invoices; the final invoice deducts the advances.
Your own invoices as e-invoices in ZUGFeRD and XRechnung, also with a routing ID (Leitweg-ID) and in foreign currencies.
GiroCode on invoices in euros, for paying with a banking app.
Recurring invoices as a series, also starting later; nothing is sent without approval.
"Correct invoice" cancels an issued invoice and opens a copy as a new draft.
Payment reminders and dunning letters on your own schedule, with fees and default interest.
Customers, suppliers and services as master data, with logos and contact persons; duplicate entries can be compared and merged.
E-mail
Send invoices and quotes from your own e-mail account, with logo and signature in the colours of the invoice profile.
A preview shows how the e-mail will arrive before it is sent; protection against sending twice is built in.
"Sent & received" shows every dispatch, undeliverable mails, replies and what the mailboxes brought in.
Payments and finances
Record payments, partial payments, advance payments and refunds in a traceable way, with several payment accounts.
Bank statements (CAMT, CSV) are read on the device only. Buchlio suggests matching receipts, and only what is confirmed is saved. No bank connection is needed.
Cash discounts, reductions and bad debts can be written off.
Financing and instalment purchases with a payment plan, interest share and a reminder for every instalment.
Foreign currencies with an ECB rate suggestion; the original amount is kept.
Financial overview with filters by month, category and currency.
Taxes and handover
Annual report with income, expenses and provisional profit; hints name the next step and open the receipts concerned.
Prepare the VAT return per month or quarter, the EC sales list and the Anlage EÜR. You transfer the values to Mein ELSTER yourself.
Standard taxation and small business scheme, cash and accrual accounting for VAT, a fiscal year that differs from the calendar year; a warning at the small business limits.
Estimated tax reserve and recording of tax payments.
Depreciation, private shares, flat rates for home office, meals and travel, company cars and gifts to business partners.
Accounting package per month, quarter or year for the tax advisor, with a DATEV booking batch for SKR03 and SKR04, original receipts and a check report; plus CSV exports.

Your bookkeeping lives locally in a visible folder on the device.

Keyboard shortcuts for the main actions on the computer, with an overview via ⌘/ or Ctrl+/; light and dark mode and a privacy mode that hides amounts.
Updates appear in the inbox. After a crash Buchlio offers an error report, which is only sent if you send it yourself and contains no receipts or amounts.
