Search, filter and export all business transactions.
Receipt totals include open invoices (Rechnung); cancellations (Storno) and credit notes (Gutschrift) reduce income. Tax payments and tax refunds are not included. Payments and refunds are shown in “Reports”. Foreign-currency receipts with a payment amount in EUR count towards the EUR total; without that amount they stay separate. Invoice drafts are listed separately under “Drafts”.

Good to know before you start.
Buchlio is deliberately built to work locally. This comes with a few limits you should know beforehand.

Account and subscription for editing
Without signing in, Buchlio opens read-only, to try it out or to view and export your data. To create and change data, you sign in with a Buchlio account and need an active subscription or the 7-day trial; you can then work for up to seven days without an internet connection.

No bank connection
Buchlio does not connect to your bank. The app reads bank statements (CAMT or CSV) only locally from a file and suggests matching receipts; only what you confirm is saved as a payment.

Gmail with an app password
You connect Gmail and Google Workspace via IMAP and SMTP with an app password from Google; for this, you need 2-Step Verification. You connect Microsoft 365 and Outlook by signing in with the provider. The steps are in the help.

No direct submission
The accounting package prepares DATEV posting batches, the Umsatzsteuer-Voranmeldung (advance VAT return, filed monthly or quarterly in ELSTER) and the Anlage EÜR (form for the cash-basis profit statement, income minus expenses, filed with the tax return) for manual handover; Buchlio sends nothing to DATEV or ELSTER.

iCloud Drive only on Apple devices
If you also use a PC or an Android device, choose a provider that all your devices can reach – such as Google Drive, Dropbox or Nextcloud/WebDAV.

Tax reports for Germany
The Umsatzsteuer-Voranmeldung, depreciation, tax reserve and Anlage EÜR follow German rules and do not replace tax advice. Buchlio calculates VAT (Umsatzsteuer) under Ist-Versteuerung (VAT due when payment is received) or Soll-Versteuerung (VAT due when the supply is made), as you set it in the accounting profile, and input VAT (Vorsteuer) by invoice (Rechnung) and supply.
Start with your own data.
In addition to the backups in Buchlio, keep an independent backup of your documents, for example with Time Machine or on an external drive. You find answers about the setup in the help; if you have questions, you can reach us via the contact form.
